We (club name)………………………………………..agree to hire pitches at Woodstock Park for season 2009/2010. As a team/club we will abide by the rules of hire as directed from time to time by OLD OAK FC, who can end this pitch agreement with 7 days notice.

All cancellations other than for inclement weather will be notified to the OLD OAK F.C. Secretary by midday on the Thursday prior to a match and failure to do so will result in the charge for the pitch being made in full. Under no circumstances will a pitch be used following the cancellation by the OLD OAK F.C. and we understand the club secretary and only the club secretary will be notified as soon as possible of the cancellation and the reason for doing so. We will always play on the pitch allocated to us unless permission is otherwise obtained. We understand monthly pitch allocations will be notified on the website www.oldoakfc.co.uk and on the various notice boards at the ground.

All facilities will be used in a proper manner and any accidental damage will be reported.  Dressing rooms will be left in a reasonable condition and any keys provided will be left in the doors at the end of each match. We understand it is our responsibility as the hiring club to ensure that our opponents and officials also abide by these rules. If we the hiring club lose one of the keys for itself, opponents or officials we understand a fine of £10 per key will be levied to cover the costs.  No boots or clothing of any kind will be cleaned in the sink or shower facilities provided and it will be us as the hiring club to ensure our opponents, officials and guests abide by this rule. Please turn off all showers, lights and heaters after use.

All fixture lists will be delivered to the OLD OAK F.C. Secretary on an annual and monthly basis. Monthly fixtures will be submitted by midday Thursday prior to the start of each month.

We will park only within the designated car parking area and will be responsible to ensure our opponents, officials and guests follow this directive.  We will not park in front of the road barrier to the Pavilion or in the area next to the changing rooms in front of The Woodstock Club Bar OR ON ANY OF THE GRASS VERGES..

We will maintain our county affiliation and only play teams that are registered with a county association or the F.A.  We understand that failure to comply with this will cancel our pitch agreement and invalidate any insurance cover.

Please return duly completed to 8, Snowdrop Walk, Sittingbourne, Kent ME10 4EZ by 1.5.09.   The cost of maintaining the pitches increases each year and we have to look to sponsorship and fund raising sometimes to keep pitch prices in check. The money received from the clubs for pitches does not always cover the outgoings even though we budget for this to happen. Therefore the pitches are sometimes subsidised by our efforts in other areas of fund raising. Should you know of a company wishing to advertise at our ground for £150 plus VAT per year, please contact Maurice 07774 654912. Also we now have a well furnished licensed reasonably priced bar on site and by using this you will keep costs down and prevent any further increase in pitch fees. The bar can be used also for meetings and all your fund raising events. Teams that do not support the facilities could find pitch prices increased for their bookings.

Help us keep costs down!   1) Encourage pitch side advertisers £150 plus VAT per season   2) Use our bar match days and for all your events.
